These instructions will assist in getting Beanbasket Email account(s) set-up under the Microsoft Family of Email Applications. Before beginning this set-up, make sure you have your new email address, email account(s) name(s) and password(s). Your email address, account name and password will be required to complete the set-up process.
If you encounter problems or have additional questions, please open a ticket in the Help Desk system.
 
 
Microsoft Outlook XP / 2003 Configuration

Configuring Outlook to use POP3 or IMAP

  1. Open Outlook, go to Tools | E-mail Accounts
  2. In the dialogue that appears, select Add a new account then click Next.
  3. Select the protocol you would like to use (IMAP or POP3). Most people will choose POP3 here, unless you specifically know that you are going to use IMAP.
  4. Fill in the user, server, and logon information. Your name should be entered as you would like it to appear in outgoing messages. Your password is the password provided to you by your Beanbasket Account Representative. If your website name is amazon.com, your incoming and outgoing servers would be mail.amazon.com:



    NOTE: Some Internet Service Providers (like SBC/AT&T, and a few others) will prevent you from using mail.mydomain.com as your Outgoing Mail Server (SMTP). In such cases, you will need to use your ISP's Outgoing Mail Server (SMTP). A hypothetical example would be something like smtp.att.com. Try using mail.mydomain.com first, and then change it to your ISP's if you encounter problems sending mail. Either way, the Incoming Mail Server must remain mail.mydomain.com.

  5. After filling out this information, click on "More Settings" and then on the "Outgoing Server" tab. Make sure the box is checked that says "My outgoing server (SMTP) requires authentication" and "use same settings as my incoming server".




    NOTE: Some Internet Service Providers (like SBC/AT&T, and a few others) will prevent you from using mail.mydomain.com as your Outgoing Mail Server (SMTP). In such cases, you will need to use the username and password provided to you by your ISP for their Outgoing Mail Server (SMTP). Select "Log on using" and put the username and password provided to you by your ISP.

  6. When done completing the form, click the "Ok" button. On the form below, hit Next and then Finish and you will be done with the configuration.
 
 
Outlook Express, Outlook and Outlook 2000
 
Use the following steps for Outlook Express, Outlook 98 and Outlook 2000.

NOTE: To determine your Outlook installation type, click About Microsoft Outlook on the Help menu. In About Microsoft Outlook, you should see "Internet Mail Only" if you have the Internet Mail Only installation.
  1. In Outlook Express, Outlook 98 (IMO), or Outlook 2000 (IMO) (as applicable), click Accounts on the Tools menu.

  2. Click the Mail tab, click Add, and then select Mail.
  3. Follow the Internet Connection wizard by entering your name.

  4. Enter the Email Address provided to you by your Beanbasket Account Representative.

  5. Select the Incoming Email Server Protocol
    • POP3 (or POP) - This protocol downloads a users mail from a remote server and saves it on a local machine. When downloading your mail, you have the option of keeping a copy of the messages on the server, or deleting it upon downloading to your local computer.

    • IMAP - This protocol will allow you to keep the messages on the remote server and allows you to view and manipulate the messages with out saving them on the local system. This is most advantageous if you access email from multiple computers. Note that it is still possible through settings within your email software to download email and store it locally on your computer.  **IMAP is required if using the Beanbasket Spam Filtering services.
  6. In the Outgoing Mail (SMTP) box, type the Outgoing Mail server (the server that sends your mail) provided with your email account information.

  7. In the Incoming Mail (IMAP or POP3)  box, type the incoming mail server  (the server from which you receive mail). provided with your email account information.

  8. Enter the Account Username and Password provided by your Beanbasket Account Representative. This username will sometimes be different than the prefix on your email address, so make sure to double check it.

  9. Click Finish to complete the set-up of your email account.

  10. Upon completion of the set-up of your new mail account, select Tools and Accounts, select the Mail tab on the Internet Accounts Window and your new account should be displayed.

  11.  In the Internet Accounts Window, select your new account and click the Properties button. Once the properties button has been selected, select the servers tab from the account window and ensure the checkbox under Outgoing Mail Server is checked indicating, “My server requires authentication”. Once the box is checked, Click Apply and OK. If the box is already checked, simply press Cancel.

  12.  In the Internet Accounts Window, select your new account and click the    Properties button. Once the properties button has been selected, select the Advanced tab from the account window and ensure the checkbox under Delivery is unchecked indicating, “Leave a copy of messages on the server”. Once the box is unchecked, Click Apply and OK. If the box is already unchecked, simply press Cancel.

  13.  Click Close on the Internet Accounts window.

 
 
Exchange Server Clients
 
Use the following steps for Outlook 97, Outlook 98 installed with the Corporate or Workgroup option, Outlook 2000, and Exchange Client.

NOTE: To determine your Outlook installation type, click About Microsoft Outlook on the Help menu. In About Microsoft Outlook, you should see "Corporate or Workgroup" if you have the Corporate or Workgroup installation.
  1. Quit the Exchange Server client.
  2. Click Start, point to Settings, click Control Panel, and then double-click Mail And Fax.
  3. Click Internet Mail Service, and then click Properties.
  4. In the Internet Mail Server box, type mail.beantree.com (the server from which you receive mail).
  5. Click Advanced Options.
  6. Type the name of the SMTP server, mail.beantree.com (the server that sends your mail) in the text box.
  7. Click OK or Close until you return to Control Panel.
When you next use the Exchange Server client, outbound mail is sent to the SMTP server that you specified.

Setting up Rules to Filter Spam Emails

If you've signed up for our Spam and Virus Filtering, and you use the POP3 (most common) protocol to check your email, all emails are by default delivered to your inbox, but spam emails are prefixed in the subject with * SPAM *. You can have Outlook automatically put these spam messages into a folder of your choice by setting up a Rule.

You should still scan your spam folder daily to make sure there are no incorrectly flagged messages. If you find non-spam messages marked as * SPAM *, you can log into webmail, go to Options | Spam Filtering, and whitelist that address.

  1. Open Outlook, and go to Tools | Rules and Alerts

  2. In the box that pops up, click New Rule

  3. In the box that pops up, click Move messages with specific words in the subject to a folder. and click "Next".

  4. On the next screen, under Step 2, click on specific words

  5. Enter the text * SPAM *. Make sure that you typed [asterisk][space]SPAM[space][asterisk] and click "Add" and "Ok".

  6. On the screen below, under Step 2 again, click on specified

  7. In the example here, the "Junk E-mail" folder is selected. You may choose any folder you wish to store the spam messages, or create a new folder by clicking the "New" button. Select a folder and click "Ok".

  8. On the screen below, click "Finish". On the one below that click "Ok". Spam messages will now automatically go into the folder you selected. You may repeat this process for * VIRUS * emails if you wish, however viruses are usually rare enough to not be a nuisance like spam.
